How to edit text in a PDF (and when you can’t)
A PDF is a printout in digital form. That’s why it looks the same everywhere, and also why changing it isn’t as simple as clicking into a Word document. Here’s what works.
Why PDFs are hard to edit
A Word document stores paragraphs that reflow as you type. A PDF stores instructions like “draw these letters at this exact spot.” There are no paragraphs to reflow, so if a word gets longer, nothing moves to make room. Every PDF editor, including expensive ones, works around this in some way.
The cover-and-retype method
For short changes (a date, a name, a price, a typo) the cleanest approach is to cover the old text with a box that matches the page color and type the replacement on top, in the same size and a matching font. That’s exactly what the Edit text tool does:
- Open your file in Edit PDF.
- Choose Edit text. Every line you can change gets a faint blue outline.
- Tap the line and retype it. The original is covered and your text appears in its place.
- Adjust the font, size or color in the bar above if needed, then save.
This works best when the page background is plain white. On colored backgrounds, select the white box and change its fill color to match.
Bigger rewrites
If you need to rewrite whole paragraphs, convert the file instead. PDF to Word pulls the text into an editable document; make your changes, then save it as a PDF with Word to PDF. You’ll lose some of the original layout, but the text is fully editable.
Scanned PDFs
If Edit text finds nothing on a page, it’s a scan: a photo of paper with no text inside. You can still use White-out to cover something and Add text to type over it. To check, try to select a word in any PDF viewer. If you can’t, it’s a scan.
Fonts
EditMyDocument matches each line with Helvetica, Times or Courier. Most business documents use one of these or something very close (Arial is nearly identical to Helvetica). Unusual brand fonts won’t match exactly; for a one-word change it’s rarely noticeable.
Edit a PDF online
Fix a typo, update a date or add a note. Tap any line of text in your PDF and retype it, then save the corrected file.
